We need heaps of volunteers to help with the following tasks on the day.  Please contact 0212958502 if you can help.  We got some names at our last meeting, and a volunteer list will be circulated soon.
  • Set up town hall – ie, arrange tables and chairs for Devonshire teas and watching entertainment, and arrange lounge area for Santa and elves
  • Pack down and tidy up town hall at the end of the day
  • Support for Nosh to load and unload their delivery vans over the fence to KTC carpark
  • Traffic management support
  • Oversee parking of stallholders (7 til 9.30am) and (3 til 4.30pm) and handle parking enquiries
  • Monitoring health & safety compliance
  • Picking up rubbish
  • Information desk – enquiries, lost and found
  • Announcements on the bullhorn
  • Look after Santa and the photographer
  • Sausage sizzle
  • Sell Rotary Christmas puddings
Thank you to Murray Potts, Harcourts who is sponsoring the printing of large outdoor signs that will be placed around the Ngaio, Khandallah, Johnsonville, Broadmeadows, and Crofton Downs areas.
We will advertise on all Rotary club websites in District 9940, as well as on the Community Radio
Advertising entertainment, thanking sponsors, and calling out notices on the day will be done by bullhorn
Entrance will be by Koha, gold coin donation.  We have secured the following sponsors:
  • Murray Potts (Harcourts) – printing of outdoor signs
  • Tait Electronics – supplying RTs
  • Harbour City Funeral Homes – printing of flyers
  • New World, Khandallah – food for the sausage sizzle
  • Warren Honeyfield - not sure of business name – use of the new commercial building premises
  • KTC will do a 2 for 1 voucher (valid on the day only) that we can hand out.
There will be a bouncy castle outside the Harcourts building.
Springfree trampolines will bring their ‘Jump zone’ – a trailer holding two oval trampoline models
Inside the town hall there will be:
  • a Christmas Tree of Remembrance.  This will be moved to the New World entrance after the fair
  • an ERK (Rotary Emergency Response Kit) on display.  This is being supplied by Wellington Rotary Club
  • Santa and his elves
  • Devonshire teas
  • various entertainment groups on the stage.
We are investigating coordinating with KTC to have an outdoor, beer tasting area sponsored by Fortune Favours.
The Johnsonville Fire Service are going to bring a truck and some volunteers.
Sausage sizzle, coffee cart, juices, smoothies, ice cream, milkshakes, sundaes, donuts, Indonesian food, chicken satay, beef sticks, chicken/beef baguettes, stir fried noodles will be sold at various sites.
Health & Safety/Risk Management
We have employed a health & safety (H&S) expert - Bruce MacKay, who has sent us a first draft of an H&S plan and will be there on the day.
Kaukau members and other volunteers will help with rubbish collection on the day.
There will be six public toilets available.  These will be cleaned regularly during the day.     
We have secured enough parking for stallholders.  These have been donated by local businesses.
Road closure
The Traffic Management Plan is currently with the WCC and is due to be approved by 8/11/17.  Just prior to the fair, we will need to advertise the road closure in the Wellingtonian, Independent Herald, and display appropriate signage.
Shop Owners
Most shop owners in Khandallah have been visited personally and told about the fair and asked to express their concerns.
Registration of interest from stall holders has closed.  Stallholders have been vetted and successful have been sent details asking for payment by 13/11/17.  Once payment is received registration packs will be sent out including health & safety information, parking etc.
There will be 35 stalls and these have been plotted on to an aerial map.
